WebSmtp

WebSmtp is a free service that allows products published by Synametrics Technologies, Inc. to route emails through a special email server. So far this mechanism is being used in Syncrify and SynaMan.

You must have a valid support contract in order to use this service.

Use Case Scenario

Consider the following scenario.

  • The email address for the administrator in SynaMan is set to john.the.admin@xyz.com
  • You use an SMTP server provided by your ISP to send outbound emails and are using the account for john.the.admin to authenticate. In other words, you are using the user ID and password belonging to john.the.admin in SMTP configuration.
  • You have a user whose email address is user.one@yahoo.com
  • Imagine this user sends a public link via SynaMan to my.friend@gmail.com
  • In this case, the sender will be user.one@yahoo.com and the recipient will be my.friend@gmail.com
  • Since neither sender nor recipient belongs to xyz.com (your domain), the SMTP server may reject this email. Such restriction has become increasingly common by many email providers, which is done by design to prevent unauthorized email delivery.
Using WebSmtp provides a work-around for the problem mentioned above.

Important Points to Remember

  • Your emails will be routed through Synametrics' server using HTTPS, which will then deliver the message to it's final destination using a different SMTP server
  • This route will only be selected if the regular SMTP communication fails
  • You must have a valid support contract in order to use this service. Emails will not be routed through this channel if your support expires.

How is WebSmtp used in Syncrify

Emails in Syncrify are always sent from the server's end. These emails can be broken down into following categories:

  • Alerts and notifications sent to the administrator
    Since the recipient and sender is the administrator, this scenario seldom runs into problems. Therefore, the only instance when WebSmtp will be used is when the SMTP server cannot be reached.

  • Email reports after backup
    Potential recipients of these reports can be users outside your company. In this case, the SMTP server will have to relay the report to the recipient's domain. With increasing restrictions on SMTP servers you may run into problems delivering emails to foreign domains.

    Another problem arises when Syncrify Server cannot be reached by a client. For example, a laptop on the road or when the server is not running. Backup will usually fail in these cases but no email is sent because Syncrify Client depends upon Syncrify Server to generate email. This problem is solved using WebSmtp.

  • When files are shared with SyncriBox

    Users can send/receive large files using SyncrBox. Requests for these file transfers are sent via email. Both sender and recipient can belong to users on the Internet. Many SMTP servers do not allow sending outbound emails where senders are not valid users inside their network and as a result will not deliver the message. WebSmtp can be used in such scenario to deliver the message.

How is WebSmtp used in SynaMan

Typically, you have to configure an SMTP server in SynaMan. Every email generated by the system is sent to this SMTP server. WebSmtp is only used when communication with your configured SMTP server fails.

Email are generated when:

  • Alerts and notification are generated by the system
    Since the recipient and sender is the administrator, this scenario seldom runs into problems. Therefore, the only instance when WebSmtp will be used is when the SMTP server cannot be reached.

  • Public links are created
    Both sender and recipients can potentially belong to a foreign domain, which is a common problem that arises when sending emails to an SMTP server. Messages can be routed through WebSmtp if your SMTP server rejects an email.

Disabling WebSmtp

Uncheck the WebSmtp box on the SMTP Configuration screen if you wish not to use this service. Email delivery will fail if messages cannot be delivered through your normal SMTP server.
